1. Who We Are

AccLyf LLC ("AccLyf," "we," "our," or "us") operates the AccLyf client portal (the "Portal"), a secure workspace for businesses engaged with our accounting and professional services firm. This Privacy Notice explains how we collect, use, disclose, and protect information in connection with your use of the Portal.

This Notice applies to Portal users — business representatives who register for and use the Portal in connection with an AccLyf engagement. It does not govern information processed in connection with our professional services, which is addressed in your engagement letter and applicable professional standards.

2. Information We Collect

Account and profile information

When you register for the Portal or update your profile, we collect information you provide, which may include: full name, work email address, phone number, job title, and profile photo.

Company information

When you set up or update your company profile, we collect: company name, business email, business phone number, website, and mailing address.

Documents and files you upload

We collect documents, spreadsheets, and other files you upload to the Portal in connection with your AccLyf engagement. The contents of these files are used solely to provide and support the professional services described in your engagement letter.

Service requests and messages

We collect the content of service requests you submit through the Portal, including request descriptions, status updates, attached documents, and communications between you and AccLyf staff.

Technical and security data

We collect certain technical information necessary to operate and secure the Portal, including: IP address (used for security and fraud prevention), browser type, operating system, and session authentication tokens managed by our authentication provider.

Analytics data (if you allow analytics)

If you choose "Allow analytics" in the consent notice, we collect anonymized, aggregated page-view data through Vercel Analytics. This data does not identify you personally, is not linked to your account, contains no cookies, and involves no cross-site tracking. It helps us understand how the Portal is used in aggregate so we can improve it. You can withdraw this consent at any time using the "Privacy choices" link in the footer.

If you select "Essential only," no analytics data is collected. This is the default.

3. How We Use Your Information

We use the information we collect to:

• Create and manage your Portal account and authenticate your identity.
• Deliver, manage, and improve our professional accounting services.
• Process, route, and respond to service requests you submit.
• Enable secure document exchange between you and AccLyf staff.
• Send you service-related notifications (e.g., account approval, request updates).
• Detect, prevent, and respond to fraud, abuse, and security incidents.
• Comply with applicable legal and professional obligations.
• If analytics are enabled: understand aggregate Portal usage patterns to improve performance and usability.

We do not use your information to send you unsolicited marketing communications unrelated to your AccLyf engagement.

4. Service Providers

We share limited information with trusted service providers who help us operate the Portal. Each provider is contractually required to protect your data and may only use it to perform services on our behalf.

We do not sell, rent, or share your information with any other third parties for their independent business purposes.

5. Information We Do Not Sell or Share for Advertising

AccLyf does not sell your personal information to third parties. We do not use advertising technology of any kind in the Portal. There are no advertising pixels, marketing trackers, data brokers, or third-party analytics that identify you individually in use on the Portal.

Vercel Analytics, if you choose to allow it, collects only anonymized, aggregated data about Portal page views. It sets no cookies and does not identify you or share your data with advertisers. See the Cookie & Analytics Notice for full details.

6. Data Retention

We retain your Portal account information and associated records for as long as your AccLyf engagement is active and for a reasonable period thereafter to fulfill legal, professional, and archival obligations, or as required by applicable law or professional standards.

If you request deletion of your account, we will delete or de-identify your personal information within a commercially reasonable time, subject to any legal, professional, or contractual obligations that require us to retain certain records.

7. Your Rights

Depending on your jurisdiction, you may have rights regarding your personal information, including the right to access, correct, or request deletion of your data. To exercise these rights, contact us at clientservices@acclyf.com with the subject line "Privacy Request."

We will respond to verifiable requests within the timeframe required by applicable law. We may need to verify your identity before processing certain requests.

8. Children's Privacy

The Portal is intended for business use by adults and is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided personal information through the Portal, please contact us so we can take appropriate action.

9. Changes to This Notice

We may update this Privacy Notice from time to time. When we do, we will revise the effective date and version number at the top of this page. For material changes, we will notify you through the Portal or by email. Your continued use of the Portal after the effective date of an updated Notice constitutes your acceptance of the changes.
